What travel costs are made of
The first item is the journey: train or car, whichever is more reliable for the venue and the start time. The second is the overnight stay, when the event starts early or a dress rehearsal takes place the evening before. As a rule, that is all. What matters is less the amount than the form: a good offer lists travel as its own line item or visibly includes it in the fixed price. What you should avoid are open phrases like "travel billed as incurred", because then nobody knows the final total. When the overnight stay is the better deal
For an event starting before ten, arriving the evening before is not a luxury but risk management. Otherwise a delayed train on the event morning hits your opening directly. The overnight stay adds one manageable line item and buys buffer time, a technical check without rush and a fresh moderator on stage. For multi-day formats the question does not even arise: there, the hotel is part of the plan just like the stage.
