Moderation

Agency or direct booking: the better way to your moderator

For a single event, booking directly is usually the better route: you talk to the person who will stand on your stage from day one, and you pay no placement margin. An agency pays off mainly when you fill many events per year or do not know the market at all and need a shortlist.

What an agency delivers and what it costs

A moderator agency maintains a roster, makes a preselection based on your briefing and handles contract and administration. That saves search time, especially if you are booking for the first time or staffing several formats at once. In return, the fee contains a placement commission, and an extra station sits between you and the moderator. Every piece of information travels through third hands: the briefing, the follow-up questions, the change to the running order in the week before the event. For simple occasions this hardly matters. For dense formats, a professional conference or a strategy day, every relay costs precision.

Why direct booking wins on content

Booked directly means the first conversation is with the person who will moderate. You sense in the first call whether the chemistry works, and the moderator hears unfiltered what you care about. From Jasmin Wölke's practice: before the Digital Transformation Conference, a corporate reference with over 600 participants and 20 speakers, the thread of the event grew out of direct exchange with the organiser, from the first briefing to the fine-tuning of the transitions. This short line is the real advantage of direct booking: questions get answered in hours, not days, and nothing is lost in forwarding.

How to check quality in both cases

Agency or direct, the test stays the same: references with context instead of logo walls, video from real stages, and on request a reference call. The guide on checking a moderator's references shows how. Also clarify before booking what happens in case of illness or cancellation; a good agency offers a replacement pool, a good moderator a clear cancellation clause and recommendations from her own network. The page booking a moderator explains the framework for both routes.

What you can do now

Count your events per year. If there are many with changing requirements, an agency can carry the search. If it is the one event that has to work, collect two or three profiles, check references and video, and have a direct conversation. After that you know more than any roster.

Request a date

Is your date still available?

Send the date, the venue and the type of event. You will get an answer within one working day.

Frequently asked questions

Is an agency automatically more expensive?
Usually a placement commission sits in the price; the amount varies. Ask how the fee is composed; with direct booking you see it without the intermediate step.
Do agencies provide better moderators?
Not automatically. Agencies keep a vetted roster, but many experienced moderators can be booked directly. References, video and the conversation remain decisive.
Will the moderator herself talk to me if I book via agency?
Often only late in the process. Insist on a personal briefing call before you book, whichever route you take.
What happens with a direct booking in case of illness?
Professional moderators cover cancellation in the contract and help with recommendations from their own network. Ask about this before booking.
Can I book directly next time after an agency booking?
The agency's terms govern that, often with time limits. Read the conditions before you place the second engagement.
How do I find a moderator for direct booking?
Through the website, references with context and video material. Compare two or three profiles, have one conversation, then decide.
